Today, we’re welcoming one of the final Community Captains of 2024 —Samir Jones— as he shares his insights on gathering valuable insights and knowledge sharing!

Throughout his career, Samir has worked at various companies, where he identified key challenges and areas with significant potential for improvement. His experience as an end user helps him develop intuitive solutions that are easy to navigate and user-friendly.

In his Board developer role, Samir focuses on building flexible solutions for clients across diverse industries, making business processes more efficient and effective. At Attollo, he is dedicated to expanding the team’s expertise in Board, always motivated by the opportunity to learn new ways of working. The Board Community is also an important source for knowledge

Learning new things enriches our understanding of the world, enhances our skills, and fosters personal and professional growth. It opens new possibilities, sparks innovation, and drives progress. Sharing this newfound knowledge is equally crucial, as it helps create a culture of collaboration and continuous improvement, ensuring that valuable insights aren't confined to individuals but benefit entire organizations and communities.

Documenting and Sharing Insights

With each Board project, we gather valuable insights that need to be documented and shared to improve future endeavours. This practice ensures that critical knowledge isn't lost and can be applied sooner, leading to greater efficiency and success. Our approach covers not only Board mastery but also our entire process—from sales to onboarding. Given the lengthy nature of projects, some experiences are unique to a few individuals. To prevent this knowledge from being isolated, we thoroughly document and share it.

Introducing ABC – Attollo Board Compass

At Attollo, a Board partner based in Sweden, we have developed an internal framework called ABC – Attollo Board Compass. The word "compass" symbolizes our method of navigating toward our goals and exploring new directions.

What Does ABC Cover?

We use a SharePoint portal to store and organize our knowledge resources, which include:

  • ABC Guide: This document serves as our primary repository for shared knowledge and strategy. It is valuable for specific searches or when setting up a project, complete with checklists and a suggested order of implementation. The guide covers various phases, including sales, project implementation, setting up Board, external systems, and onboarding new colleagues. In many cases, it refers to additional documents such as requirement files and manuals. Our guide complements the official Board manual and draws significant inspiration from Boarding PASS. Today, our ABC Guide spans over 150 pages, and we continue to add relevant content regularly.
  • Kaizen List: Identifying knowledge gaps is a common occurrence, but time constraints often prevent us from exploring and investigating them further. To address this, we maintain a Kaizen List, which functions as a to-do list for future knowledge and continuous improvement. It documents all aspects we wish to learn more about, whether related to Board or project methodology. The list does not require immediate action or responsibility from the person posting it and is available for anyone with time to explore or who sees a benefit in their current project. Tasks can be assigned to specific individuals if deemed high priority.

Kaizen is a Japanese term meaning "continuous improvement," emphasizing small, incremental changes to improve efficiency and quality in processes.
  • ABC Forum: Lists upcoming meetings with topics and the responsible organizer. Includes meeting notes for future reference. Besides SharePoint, we also have an active Teams chat where we regularly communicate with each other. We have both standard meetings (1-2 monthly) and on-demand meetings depending on the topic.
  • Shared Folders: Contains all our collective files, accessible for the entire team.
  • External Resources: Links to official Board materials, access to our internal Board environment, and a library of useful links, including UX design resources.
  • AI: The AI team at Attollo has developed a ChatGPT covering content in official Board material and our ABC content.

The Future

The ABC project was recently launched in its more structured way. Much like our knowledge of Board, we are continuously adapting and improving along the journey.

As we move forward, it's essential to recognize the value of both knowledge sharing and refining our ways of working. At Attollo, we've seen the benefits of documenting and sharing our insights, and we believe that this practice can drive success for any organization.

We would love to hear from fellow community members about how you manage knowledge sharing and your ways of working within your organizations. By exchanging our approaches and experiences, we can all learn and grow together.

Thank you, Samir, for sharing these helpful insights as a Board Community Captain!
